5 Things to Check Before Choosing a New Supplier

Finding a supplier is easy. Finding one you can actually rely on is harder. Here are five practical things to check before turning a new supplier into a long-term business partner.

Finding a new supplier can feel exciting. You may come across a product that looks perfect, the price seems right, and the supplier appears easy to work with. But before you place that first order, it is worth taking a step back.

A good-looking product and a good price do not always tell the whole story. The supplier you choose can have a direct impact on your product quality, delivery times, costs, and ultimately your customers.

Whether you meet suppliers at a trade show, find them online, or get a recommendation from someone in your industry, here are five things worth checking before you make a decision.

1. Take a Close Look at the Product Quality

This might sound obvious, but it is easy to overlook when you are excited about a new product.

If you can see the product in person, take a few minutes to inspect it properly. Look at the materials, finishing, packaging, and overall build quality. If possible, ask for a sample so you can test the product yourself before committing to a larger order.

Photos can also be surprisingly useful later. When you are comparing several suppliers, having pictures of the actual products you saw can help you remember which ones stood out and why.

Remember, a supplier offering a low price is not necessarily giving you a good deal if the product quality leads to returns or unhappy customers.

2. Ask About the Minimum Order Quantity

One of the first questions to ask a supplier is: How many units do I need to order?

This is usually referred to as the minimum order quantity, or MOQ. Some suppliers are happy to start with a small order, while others may require you to purchase hundreds or even thousands of units.

Make sure the MOQ makes sense for your business. You do not want to tie up your cash in a large quantity of stock simply because you did not ask about the minimum order at the beginning.

It is also worth asking whether the MOQ changes for different colors, sizes, models, or custom packaging.

3. Look Beyond the Unit Price

Price is important, but the number written next to the product is not always the final cost.

When comparing suppliers, ask about everything that could affect what you actually pay. This can include shipping, packaging, customization, payment terms, and other additional charges.

For example, Supplier A might offer a lower unit price, but Supplier B might have cheaper shipping and more flexible order terms. Once you look at the complete picture, the second supplier may actually be the better option.

That is why it helps to record the pricing details for each supplier instead of relying on memory.

4. Pay Attention to How They Communicate

You can learn quite a bit about a supplier before placing an order simply by paying attention to how they communicate with you.

Do they answer your questions clearly? Do they provide the information you ask for? Do they respond within a reasonable amount of time?

These things matter because communication does not become less important after you place an order. If something goes wrong with production, shipping, or stock, you will want a supplier who is willing and able to communicate with you.

It is also a good idea to ask about lead times, stock availability, shipping schedules, and what happens if there is a delay or problem with an order.

5. Keep All the Supplier Information in One Place

This is where things can get messy, especially after a busy trade show.

You might come home with dozens of business cards, product photos, price lists, notes, and WhatsApp conversations. A few weeks later, you may remember the product but have no idea which supplier showed it to you.

Try to keep the supplier's contact details together with the products you discussed, photos, pricing, MOQ, and your own notes. Having everything connected makes supplier comparisons much easier.

Instead of asking, "Who was that supplier again?", you can quickly look at the information and decide whether they are worth following up with.

Don't Make the Decision Based on Price Alone

Choosing a supplier is about more than finding the lowest possible price.

You need to think about the quality of the product, the order quantity, the complete cost, communication, reliability, and how well the supplier fits your business.

Sometimes paying slightly more for a supplier you can trust is a much better decision than saving a little money and dealing with problems later.

Make Supplier Research Easier

The more suppliers you compare, the more important it becomes to keep your information organized. This is especially true when you are visiting trade shows and meeting several vendors in a single day.

VenPod helps you capture vendor contacts, product information, photos, and notes while you are on the go. Instead of trying to piece everything together later, you can keep the information connected from the moment you meet a supplier.

Choosing the right supplier takes a little research, but that effort can pay off for a long time. Ask the right questions, check the details that matter, and keep your information organized. It can make the difference between simply finding a supplier and finding a supplier you can actually build a business relationship with.

Meet vendors. Capture the details. Stay organized. Follow up with confidence. VenPod helps you turn the information you collect at trade shows into organized, usable vendor data so valuable conversations don't get lost after the event.
